1. Our commitment to protecting your information

G-BOX is committed to protecting users’ personal data and only collects and uses information to the extent necessary to provide its services, in compliance with the laws on personal data protection.

2. Information we collect

2.1 Account information

• Phone number.
• User ID.
• OTP authentication information.

2.2 Identity verification information

When a user carries out identity verification, G-BOX collects:

• Full name.
• CCCD number or Passport number.
• Date of birth.
• Images of the CCCD or Passport uploaded by the user.

The G-BOX system uses optical character recognition (OCR) to automatically extract the above information from the document image.

Once extracted, the information is checked by staff authorised by G-BOX against the document image and may be corrected if a discrepancy is found.

The decision to approve or refuse verification is always made by staff authorised by G-BOX and is never based solely on the automated output of the system.

2.3 Transaction information

G-BOX collects and stores information relating to users’ transactions, including:

• Room booking history.
• Table booking history.
• Food ordering history.
• Napas payment history.
• G-Money top-up history.
• History of using G-Money to pay for services.
• G-Money balance.
• Donation history.
• The value of each donation.
• History of G-Money credited under the donation appreciation programme.
• History of G-Coin received.
• History of G-Coin used.
• G-Coin balance.

This information is used in order to:

• Carry out and confirm transactions.
• Update the G-Money balance.
• Support look-ups of transaction history.
• Resolve complaints, disputes, or refunds (if any).
• Prevent fraud and respond to requests from competent authorities as required by law.
• Manage the loyalty programme.
• Record and manage G-Coin.
• Record donations.
• Run the G-Money appreciation programme.
• Audit, reconcile, and handle complaints relating to transactions.

2.4 Technical information

While the app is in use, G-BOX may collect:

• IP address.
• Device type.
• Operating system.
• App version.
• Error logs and technical diagnostic information.

This information is used to operate, maintain, and improve the quality of the service.

3. Purposes for which we use information

G-BOX uses users’ information in order to:

• Register and manage accounts.
• Verify identity.
• Fulfil service bookings.
• Process payments.
• Manage G-Money balances.
• Provide customer support.
• Prevent fraud.
• Improve the quality of the service.
• Perform obligations required by law.

4. Sharing information

G-BOX only shares information in the following cases:

• With payment service partners, in order to process transactions.
• When requested by a competent state authority in accordance with the law.
• When the user consents.

G-BOX does not sell or rent users’ personal information to any third party for commercial purposes.

5. Information security

G-BOX applies appropriate technical and organisational measures to protect personal data from unauthorised access, use, alteration, or disclosure.

Identity verification information is accessible only to staff with the relevant permissions, for the purpose of checking, verifying, or supporting users.

6. Retention period

Personal data is stored for as long as necessary to provide the service, or for the retention period required by law.

Once the retention period ends, or when the data is no longer needed, it will be deleted or processed in accordance with the applicable regulations.

7. Your rights

Users have the right to:

• Request access to their personal information.
• Request that inaccurate information be updated or corrected.
• Request deletion of their account in accordance with G-BOX’s rules and applicable law.
• Submit requests or complaints relating to the processing of their personal data.

8. Changes to this Privacy Policy

G-BOX may amend this Privacy Policy where necessary to comply with the law or to suit the operation of the app.

The new version will be published in the app or on the website before it takes effect.
